Terms and Conditions
CoralBlu Studios | Last updated: 09/08/2026
These terms explain what to expect when you book with CoralBlu Studios. Please read them before booking. If you have questions, I am happy to help.
In these terms, “we,” “us,” and “our” mean CoralBlu Studios. By booking, you agree to these terms. If your signed session agreement differs from this page, the signed agreement takes priority, subject to applicable law.
Booking your session
Your date is reserved once we receive your signed session agreement and full session fee.
The session fee covers our photography time, editing, and your private ordering appointment. Digital images, prints, albums, and framed artwork are purchased separately. Your session fee is credited toward any collection you choose.
Rescheduling or cancelling
The session fee is not refundable if you cancel, except where these terms or applicable law provide otherwise. With at least seven days notice, you may move your session once at no additional charge. The new session must take place within twelve months of the original date, subject to availability.
A change with less than seven days notice, or a second reschedule, requires a new session fee. The weather and maternity or newborn exceptions below take priority over this rule.
If we need to cancel or reschedule, including because of illness or equipment failure, you may choose another available date or receive a full refund of your session fee.
Weather
We decide whether rain, extreme cold, or unsafe conditions require rescheduling, usually on the morning of your session. Weather changes carry no fee and do not count toward your standard reschedule. Cloudy skies alone are not grounds for rescheduling.
Maternity and newborn sessions
Newborn sessions are reserved around your due date rather than on a fixed day. Once your baby arrives, we will choose a date together, ordinarily within the first two weeks.
If the photographer or anyone in your household is unwell, either of us may postpone the newborn session without an additional fee. Your family’s health comes first.
Early delivery, medical complications, or changes in circumstances affecting your maternity or newborn session will not cause you to lose your session fee. We will work together to arrange a new date, and your payment will transfer to that booking.
These changes are exempt from the standard seven day notice requirement and do not count toward your one complimentary reschedule. These protections apply whether you book a session individually or as part of a combined maternity and newborn booking.
Combined maternity and newborn booking
A single session fee of $899 reserves both your maternity and newborn sessions and covers photography, editing, and a private ordering appointment. Collections begin at $2,750 and include photographs from both sessions in one album. The full $899 is credited once toward your chosen collection.
If you choose to complete only one session, the full $899 remains available as credit toward a collection from that session. Individual session collection pricing applies. No portion of the combined session fee is refunded solely because you choose not to complete the second session. The credit has no cash value.
If medical complications or illness prevent either session from taking place as planned, the rescheduling protections described above apply.
If CoralBlu Studios cannot provide one of your two sessions and you choose not to reschedule, we will refund $449.50 of your combined session fee. The remaining $449.50 will stay credited toward your collection from the completed session. If the full $899 credit has already been applied to a paid collection, we will refund $449.50 without increasing your collection balance.
If we cannot provide either session and you choose not to reschedule, we will refund the full $899 session fee. We will also refund any advance payments for products or services we cannot provide.
This refund calculation applies specifically when CoralBlu Studios cancels all or part of a combined booking and takes priority over the general session fee refund provisions. Client cancellations remain subject to the cancellation and medical rescheduling terms above. Your rights under applicable law remain unaffected.
Arriving and taking part
Sessions begin at the agreed time. If you arrive late, we usually cannot extend the session because of light or other commitments.
A parent or guardian must be present throughout sessions involving children. During newborn sessions, a parent stays within arm’s reach of the baby. We do not use suspended, propped, or composite newborn poses.
We may end a session if conduct is abusive, unsafe, or prevents us from working. In that situation, the session fee is forfeited, subject to applicable law.
Choosing your photographs
For individual sessions, your private ordering appointment ordinarily takes place about two weeks after your session.
For combined maternity and newborn bookings, we hold one private ordering appointment, ordinarily about two weeks after your newborn session. We will review photographs from both sessions together and choose the images for your collection and album. Maternity photographs are held for this appointment unless we agree otherwise in writing.
If only one session takes place, we will arrange your ordering appointment after that session, once we have confirmed that the second session will not go ahead.
We select and edit the photographs presented at your appointment. Unedited files, contact sheets, and the full set of photographs taken are not included.
Editing reflects the style of our work. You are welcome to request specific adjustments, and we will accommodate them where reasonable.
Payment and delivery
Collections are paid in full at your ordering appointment unless we agree to a payment plan in writing.
Digital images are delivered within fifteen business days after your final image selections are confirmed and full payment has cleared, whichever happens later. If you have a payment plan, delivery follows the schedule stated in that agreement.
Albums, prints, and framed artwork are made to order. Production begins after full payment has cleared and you have approved any required designs. These products ordinarily arrive within four to six weeks after the order is submitted to our supplier, depending on production and shipping timelines.
If CoralBlu Studios cancels your session and you choose not to reschedule, we will refund your session fee and any advance payments for products or services you have not received.
Returned payments incur a fee of $49, where permitted by law. Outstanding balances may delay production and delivery.
Copyright and your use of the images
CoralBlu Studios retains copyright in the photographs. Purchasing photographs or artwork does not transfer copyright.
Purchased digital images include a personal use license. You may print them, share them with family and friends, and post them online. You may not sell them, license them to others, or submit them to competitions or publications without our written permission.
Please do not crop, filter, or otherwise alter delivered photographs before sharing them publicly. Credit is appreciated but never required.
Business or commercial use requires a separate commercial license. Headshot clients receive commercial usage rights for their delivered images as part of their session.
Portfolio and promotional use
We may use session photographs in our portfolio, website, social media, printed marketing, competitions, and educational materials, subject to your preferences.
If you prefer to keep your photographs private, tell us before or after your session. We will record your preference, stop using those images for these purposes, and remove published images from channels we control. There is no charge, and your choice does not affect your session. We cannot recall printed materials already distributed or copies shared by others.
We ask a parent or guardian for specific permission before publishing an identifiable image of a child. That permission may be withdrawn at any time. Our Privacy Policy explains more about how we handle your photographs and personal information.
Your archive and reprints
We retain your photographs for as long as CoralBlu Studios operates, with a minimum retention period of five years from your session date. During that time, you may order additional prints, albums, or framed artwork at our current prices, subject to product availability.
Once your artwork has been delivered in good condition, its care is your responsibility. We do not provide free replacements for items that are subsequently lost or damaged. Replacement orders are charged at our current prices. If your artwork arrives damaged, defective, or incorrect, please contact us promptly so we can address the issue. This policy does not limit your rights under applicable law.
We take reasonable care to preserve your photographs, but we cannot guarantee against catastrophic data loss. Please keep your own backups of any digital images we deliver.
Wall artwork delivery
We deliver framed artwork within 30 miles of Winnetka IL at no additional charge.
Travel and locations
Sessions within thirty miles of Winnetka, IL include travel. Beyond that area, a $99 travel fee applies.
You are responsible for location permits, admission charges, and permission to photograph on private property. We will let you know about permit requirements we are aware of.
If something prevents delivery
We carry professional liability insurance and take reasonable care with your photographs and artwork.
If equipment failure, data loss, illness, an accident, or another circumstance prevents us from delivering your photographs, our liability is limited to a full refund of the amounts you have paid, to the extent permitted by law.
Weather, venue restrictions, other vendors, and the cooperation of participants can affect a session. We are not responsible for outcomes caused by circumstances outside our reasonable control, to the extent permitted by law.
Nothing in these terms excludes liability that cannot lawfully be excluded or limits rights you have under applicable consumer protection law.
Your privacy
Our Privacy Policy explains how we collect, use, share, and protect personal information, including photographs. Please read it alongside these terms. You can contact us with questions or privacy requests at photos@coralblustudios.com.
Updates to these terms
We may update these terms from time to time. The version in effect when you book applies to your session, unless we agree to a change with you in writing.
Governing law and disputes
These terms are governed by Illinois law. Subject to applicable law, disputes will be resolved in the courts of Cook County, Illinois.
